Add an occupier account. This is a tenant company who leases physical office space at your site, or who may consume services there.

Note: This process models the occupier organization and not the occupier employee. The occupier employee is modeled as an occupier user.

Create a new occupier

Before you begin

Accessing the Occupier pages

  • Click Occupiers in the main menu.
    The Occupiers page opens. By default, the occupiers that have already been created are visible in this view.

Create a new occupier

  1. Click Add an occupier.
    The Add an occupier dialog box opens.

  2. Define the basic details for the occupier account:

    1. Add an Occupier name.

    2. Optionally, add a Billing Reference for the occupier.

  3. Add any external system identifiers for the occupier.
    This allows you to link your occupier to an equivalent data point in a third-party system.

    1. Click Add an external identifier.
      A row for the details of the link opens.

    2. Select an External system.
      If the external system is not present in this drop-down list for selection, you should contact us. You can still create the occupier, but may need to edit the occupier details to add this reference later.

    3. Specify the Identifier that you would use to uniquely identify the occupier in the external system.

  4. Once the details are correct, click Add occupier to save.
    Note: The Add occupier button only becomes enabled once the mandatory details are complete.

What next?

Every occupier must have a contract with the operator. You should create a contract for this occupier.


Occupier details

The Add an occupier and Edit occupier account dialog boxes have similar fields.

Field

Description

Occupier name

Add only.

The name of the occupier. This is the company name.

Mandatory field.

Billing Reference

Add only.

A Billing reference for the occupier. You should ensure this exactly matches the billing reference number in any other connected system. For example, if you are an Operate user, you should ensure this exactly matches the billing reference number in Operate.

External identifiers:

  • Add an external identifier

  • External system

  • Identifier

  • Site

Link your occupier to one or more equivalent data points in one or more third-party systems (for example, a CRM).

To add an external system identifier:

  1. Click Add an external identifier.

  2. Select the system type from the External system drop-down list.

  3. Supply an Identifier for the occupier in the external system. This is usually a unique ID.

  4. On edit, select the Site that the external system is associated with. Note: This Site field is disabled if you are creating a new occupier, since an occupier is only associated with sites when their contract is created.

  5. Repeat the preceding steps as required to add multiple external identifiers.

Tip: If the external system is not present in the External system drop-down list for selection, you should contact us. You can still create the occupier, but may need to edit the occupier details to add this reference later.

Tip: If you make any mistakes, you can click X to delete a row.
