A Conference bridge allows a group of people to participate in a conference call from their own phone line from anywhere in the world. The bridge works like a virtual meeting room, with participants calling in to the shared phone number and then typing a specific ID and PIN to enter a conference call (virtual meeting room) with other callers using the same ID / PIN.
Manage conferencing
Set up the initial conference bridge (raise a case)
To set up a conference bridge, you need to specify:
A phone number that you want to use for your conference bridge.
A list of phone numbers or users that each need a conference ID / PIN to host their own virtual meetings on the bridge.
Tips:
The unique ID and PIN pairs are created for you by essensys. You will need to provide these numbers to the people that want to host their own conference calls.
You can create as many ID / PIN pairs as the occupier or operator has allocated phone numbers, one for each number.
There is no limit on the number of users that can join the same conference call.
Before you begin
Setting up the conference bridge requires:
At least one allocated phone number. This enables the Request a telephony configuration change menu.
An active phone number to act as the shared conference bridge number.
An active phone number for each user that wants to host a conference call.
Procedure
At the top-right of the page, click Request a telephony configuration change > Conference numbers.
The Raise a case dialog box opens. All fields apart from the description are pre-populated with appropriate details. In the Description field, enter the information that you require for the conference bridge. You need to include:
The conference bridge phone number. The number all users will dial to join the conference bridge.
The phone number or username for each of the users that want to host a conference call or virtual meeting room. A conference ID and PIN will be created for each user
Note: If you are supplying a username, the user needs to have been assigned a phone number in the essensys Platform.
Click Submit.
A case is raised. After a short delay, you will receive an email notification indicating details of the case and its case ID.
Once your conference bridge is set up, essensys will contact you.
What next?
If you need to supply us with more information, you can:
Add comments and attachments to the case in Operations > Support.
Reply to the email notification that you receive with more information or attachments.
You should check that your conference bridge is working. For more details, see Test that your conference bridge works.
Using your conference bridge

Test that your conference bridge works
You should test that the conference bridge has been created correctly:
Call the shared conference bridge number.
Join a virtual meeting room using one of the conference IDs and PINs.
Get another user to do the same, so that you can test that you both enter the same "room" and can communicate with one another.
Invite your colleagues to a conference call
To host a conference call, the user shares the following details with the people that they are inviting to the call:
The conference bridge number.
The conference ID.
The conference PIN.
All invitees call the shared conference bridge number, and then enter the Conference ID and PIN to enter the room.
Raise a conference number case
You can only add and remove conference users, and create new IDs and PIN's by raising a case with us.
You should also raise a case if there are any issues with your conference bridge. For example, if the conference bridge number is listed as Not Applicable
.
Follow the Request a telephony configuration change > Conference numbers process to raise a case.
In the Description field, tell us about the changes you want us to make.
We will update your conference bridge settings, or contact you for more information.
Note: Once a user or their associated conference ID/PIN is removed, you can no longer connect to that virtual meeting room.
