How do I manage contact details for emergency and routine notifications? | Site key contact | Maintenance contact

Key contacts are used when essensys need to make contact with you to raise awareness about scheduled site maintenance activities, or to notify you about unforeseen events. Contact is by email.

There are 2 types of key contact associated with each site:

  1. We will notify the Site Key Contacts by email when there is an unforeseen event at your site. For example, when there are circuit connectivity changes, or service issues such as internet or voice outages.

  2. We will notify the Maintenance Contacts by email when we have works planned or scheduled at your site. For example, when a service improvement requires a temporary outage to be scheduled.

Note: There are also Operator Key Contacts. These contacts are notified with multi-site service updates or when there are any service issues that are relevant to the operator but not specific to one site. For more information, see Operator key contact.

Create site key contacts

Before you begin

  • You must be an essensys Platform administrator with site access to the site whose contacts you want to add.

Open Edit sites wizard

Note: The key contact details are managed in the Edit sites wizard. This wizard is used to manage the basic site details. For more information about the other fields, see Manage site.

Edit the key contact details

  1. For the Site key contact:

    1. Optionally, use the First name and Last name fields to supply details of the contact.

    2. Optionally, enter that contact's Phone number.

    3. Specify the first Email address for the site key contact.
      Note: You must have at least one email address for the site key contact.

    4. For each additional contact email address, click Add another email address and enter another valid email address.
      The following rules apply:

      • You can specify up to 10 email addresses.

      • You must have at least one email address.

      • Each email address must be valid and unique.
        Note: You can have the same email address as both a site key contact and a maintenance contact, but you can't duplicate the same email for either.

  2. For the maintenance contact, you can add between one and 10 email addresses following the rules above.

  3. Click Save to save your changes and close the wizard.

Site key contact

Site key contacts are notified by email when there is an unforeseen event at this site.

  • First name

  • Last name

Optional.

Where there is an individual contact at the site, you can specify their first and last name.

Phone

Optional.

Where there is an individual contact at the site, you can specify their phone number.

Note: essensys will contact you by email and not by phone. This phone number is extra information.

Email address:

  • Add another email address

  • Delete email address (X)

For each contact email address that you want to add:

  1. Specify the first valid email address.

  2. For each additional email address, click Add another email address and enter a valid email address.

For each contact email address that you want to remove:

  • Click Remove (X) to the right of the field.

The following rules apply:

  • You can specify up to 10 email addresses.

  • You must have at least one email address.

  • Each email address must be valid and unique.

Note: You can use the same email address as both a site key contact and a maintenance contact, but you can't duplicate the same email for either.

Maintenance contact

Maintenance contacts are notified by email when there are scheduled or expected updates at this site.

Email address:

  • Add another email address

  • Delete email address (X)
