When you’ve made a booking in advance, accessing the space is simple and seamless. Using the elumo device installed at the door, you can unlock the space at the start of your booking — no need for keys or manual check-ins.
When Can I Access the Space?
You can access the booked space from the start time of your confirmed booking. Access will only be granted during the active booking period.
You will not be able to unlock the door before your booking starts or after it ends.
How It Works
1. Approach the Space
When you arrive at the door of your booked space, you’ll see an elumo device mounted nearby.
The device uses a circular clock-style light animation to indicate the space’s status:
🟠 Amber lights → The space is booked. The lights display the duration of your booking. As the meeting progresses, the amber lights will count down in an egg-timer style, showing how much time remains in the reservation.
⚪ White lights → The space is available. You are likely to be outside the wrong space for your reservation.
Example: 30 minute booking
If you have a meeting booked from 10:00 to 10:30, the Elumo device will show amber lights around the circular display to represent the full duration of your booking.
Warning: If you approach a device that is displaying available (indicating you are at the wrong space) and attempt to tap, the system will create a second booking via tap to book.
2. Tap the Device
Hold your mobile device or access card near the elumo device.
If you have a current booking, the device will flash green, and the door will unlock.
If you do not have a booking or it’s outside your reserved time, the device will flash red, and access will be denied.
3. Manage Your Booking
You can view, edit, or cancel your upcoming bookings directly within your tenant experience. Any changes will automatically update your access permissions in real time.
Access Scenarios
Example 1:
You have a meeting room booked from 10:00 – 10:30. When you arrive at 09:58 and tap your device, the door will remain locked. At 10:00 you can enter.
Example 2:
If your booking ends at 10:30, and you try to re-enter at 10:32, the device will flash red to indicate that your booking window has ended.
Troubleshooting
The device doesn’t respond to my tap:
Check your app or access card is active and linked to your account.
I have a booking but can’t access the space:
Confirm the booking start time in your app.
Make sure you’re at the correct door and space.
If issues persist, contact your building support team.
