Introduction
There are two ways to login a Telephone Number to a handset, you can do this either by going to the handset and logging in with the Number itself and PIN, or you can login via
the essensys Platform.
Before you begin, you must make sure the number you are logging is in an Active state and is not a Hunt Group or a Main Number. See how to activate a phone number here.
Note - If you do not see a Login option you may find the Device Type is not set, you can only login handsets that are set as a Polycom Flex or Yealink Flex.
Logging in via the Platform
Before we start, head to the handset you want to setup and then grab the number from the handset that starts with /// if your handset isn't displaying this number then see this guide here.
When hovering your cursor over the phone number:
Click Login/Logout of handset.
The Handset login dialog box opens.
If your device type is Polycom Flex or Yealink Flex, select its Phone ID from the drop-down list.
Only Phone IDs that reference phones that are not currently logged in are displayed in this list for selection.Click Login.
After a short delay a confirmation message opens, indicating that the log in process is underway.
Click OK to close the message.
Once logged in, calls to this phone number will cause the handset with the selected Phone ID to ring.
Logging via the Handset
Before we start to login a phone number we must make sure we have the following information,
Full Telephone Number that shows on the essensys Platform
The PIN or Default PIN
Note - If the client has used this number before and accessed their Voicemail they may have changed the PIN make sure the customer is aware the PIN they've entered if not you can reset the PIN by following this guide here.
Polycom Handset
On the Polycom handset press More > Guest IN you'll then enter the Telephone Number and PIN and then press Guest IN.
Accessing the Phone number details
Access the phone number details for either the operator or an occupier:
To access the telephony details for the Operator:
Click Account in the main menu.
Select the Telephony tab.
Select the <site>.
To access the telephony details for an Occupier:
Click Occupiers in the main menu.
Select the <occupier>.
Select the Telephony tab.
Select the <site>.
If the list of phone numbers is not visible (the number of phone numbers is presented), click the drop-down icon.
All the phone numbers that have been allocated for the selected occupier or the operator at this site are presented in a list.
Tip: You can filter this list using the options to its top-right.
Logging out of a logged in device
When hovering your cursor over the phone number:
Click Login/Logout of handset.
The Log out confirmation message opens.If you are sure that you want to log out, click Logout?
After a short delay a confirmation message opens, indicating that the log out process is complete.Click OK to close the message.
The phone number is logged out of the handset. Calls to the phone number are no longer routed to it.
