How do I grant access to my occupier users? | Add or Edit Occupier User | Activate access control | Offline access | Card ID | Access groups

You can assign Access Management to occupier users as part of the occupier user creation process. These users can then open particular doors at your site or sites using their access devices.

Important: This topic describes the changes associated with the Create occupier users functionality when Access Management is in use. An additional page is added to the Create a user wizard, from which you can:

  • Assign the user an access device (card), by capturing their card ID.

  • Associate the user with one or more groups; indicating which doors they should be able to open.

  • Activate access control for the user; granting them access rights when they tap their devices, and, optionally, granting them those access rights even when the site is offline.

Note: When you edit your user, you can manage their Access Management set up; activating and deactivating them on Access Management, and capturing their card details. The user's groups are updated in the separate Manage groups dialog box.

Create an occupier user with Access Management

From Occupiers > <occupier name> > Users:

  1. Follow the standard process to create an occupier user.
    For more details, see Create occupier users.
    Because you have Access Management, an additional Access Management page is present in the wizard:

  2. In the Access Management page, specify:

    1. The user's Access Management status, and details of their access card. For more information, see Access Management set up.

    2. The details of the groups that the user should be a member of. For more information, see Access Management groups.

  3. Click Add user.

The new occupier user is created with Access Management details as defined in the Access Management page.

Note: If the user is created with Access control activated, they will be able to open the doors associated with their groups now.

Create occupier users with Access Management in Bulk

Where Access Management is in use, and you are Bulk Loading occupier users, you can load those users with Access card IDs.

From Occupiers > <occupier name> > Users:

  1. Follow the standard process to create a CSV file containing details of the users to Bulk Load.
    For more details, see Create users in bulk.

  2. Add the following Access Management details:

    • In your CSV, add a column and enter a unique Card ID for each user (row).
      Note: If any of the selected card IDs are already present in essensys Platform, the upload will fail.

    • In the Add multiple users wizard's Bulk settings page, select Enable user access to indicate that you want all of your users to use Access Management.

    • In the Add multiple users wizard's Map fields page, map the name of the column that you added to your CSV to the Card ID value.

These users are each created in the ACTIVE state for Access Management and with the assigned Card ID from the CSV file.

Tip: You can now edit the group details to assign all of your bulk loaded users to the appropriate Access Management groups. For more information, see Groups.

Optionally, click Activate to enable Access Mangement using this access device (the card with this card ID) when the site is online.

Tip: You can stop the card from being used to open doors by deactivating this option.

Card ID

The identifier associated with the physical access card used by this user.

This numeric value is typically found on the reverse of the card.

Tip: If you do not know your Card ID, you can tap your card on a card reader and then look in the Access logs to find it.

Offline access

  • Activate

Optionally, click Activate to let the user access spaces when Access Management is offline.
Note: Users with offline access can continue to enter spaces that they normally have access to even though the site is offline.

Access Mangement Groups

Select the groups that this user should be added to. When the user is created, the user will be added to any group in the Selected groups column.

The groups organized by site. Moving groups from this column into the right-hand Selected groups column selects them for the user.

  • To select individual groups for this user, click the arrow icon to the right of a group name.

  • To select all of the groups at a site, click the arrow icon alongside select all.

The groups that will be assigned to the user when you save are shown in the right-hand panel.

  • To break the connection between the user and all groups associated with a particular site, click the cross X alongside the site name.

  • To break the connection between the user and a particular group, click the cross X alongside the group name.

The selected groups are removed from the list of selected groups. The user will not derive access rights from formerly selected groups.


Further information

  • Deleting a user removes all of the user's details, including their Access Management details. When I delete a user:

    • The user can no longer open doors with their access card, and their card details are removed from the system.
      Tip: This means the card can be reassigned to another user.

    • The user can no longer open doors with your white labeled essensys app.
