How do I report on the currently active services at my sites? | Infrastructure | Pricebook | Sites

The essensys Platform's Active Services report describes each of the active services from infrastructure pricebooks that are in use across your sites.

The report includes the number of active instances of the service, the costs associated with those services, and, in the downloaded CSV or details view, the associated occupier or operator, and site.

View active services

Access the report

All site reports are located in the Operations section of the essensys Platform. To open the correct section:

  1. In the main menu, click Operations.
    The Operations page opens. By default, Reports is selected from the overhead menu.

  2. Under Services reports, click Active services.
    The Active services report opens. The Main report (default) is a list of each active service from your Pricebook at the selected site or sites. There is one row per service.

  3. Optionally, click the value in the Quantity field.
    The Details pop-up opens. In this view, there may be more than one row for each active service, as there is one row for each service that shares the same occupier or operator and site.

Filter the report

  1. Optionally, use the Multisite Selector to select the sites whose services you wish to view. From the top-right, select:

    • All sites

    • One or more individual sites by <site name>

  2. Optionally, use the Search field to filter the results.

  3. Navigate around the details view:

    1. To sort the columns by particular values, click the header row.

    2. To move between the pages of results, click the left and right arrows at the bottom-right.

Download as a CSV

You can export the active services data in CSV format as either a Full service report or Summary report.

Important: The downloaded report is filtered by the settings you have chosen, but does not reflect any search or column sorting.

From the main Active services report:

  1. From the top-right of the main editor, click Export CSV.

  2. From the options, select the type of report to download:

    • Full service report.

    • Summary report.
      The CSV file is created and downloaded.

  3. Click to open the downloaded report.
    Note: The CSV file is correct at the point in time when the download is requested.

Tip: There is also an Export CSV button in the Details pop-up.

Return to the Reports home page by clicking the Return button at the top-left of the main report window.

Export CSV

Click Export CSV to download the active services report as a CSV file.

This option is present in the main report page, and in the Quantity detail pop-up. The downloaded report is filtered by site.

When you select this option from the default report page, you are offered the options:

  • Full service report.

  • Summary report.

For details of the content of the downloaded report in each case, see CSV fields.

Search

Filter the report to show only those connections whose details contain the searched value.

The search is performed as you type.

Pagination

When viewed in the essensys Platform, each page in the report shows a maximum of 12 rows of data.

Use the left and right arrows to move between the pages of results.

  • All sites

Select the site or sites you wish to report on:

  • Click all sites to select or clear all of the sites in the list.
    Note: The list includes all sites that you have site access to.

  • Click a <site name> to add or remove the site from the report.

Note: It is not possible to have no sites selected.

Active service report and CSV fields

The following table describes the data in the Active services report, either in the platform or in an exported CSV file.

Notes:

  • The main Active services report in essensys Platform shows one row per service. The different costs and quantities for each service consumed by different occupiers and the operator across the different sites is summarized in this view.

  • The detail view (opened from the Quantity field) and the exported CSVs, both show multiple rows per service; one row for each service consumed by a particular occupier or operator at a particular site.

Tip: The "Present in" column in the following table tells you where you will see each field in the platform pages and downloaded report types.

The Billing reference for the occupier or operator.

The name of the service as it appears in the pricebook.

Main report:

The Main report shows one row per service and presents a sum of costs for each service.

Details and CSV:

The Details report and exported CSVs show multiple rows for each service. One row for each service consumed by a particular occupier or the operator at a particular site.

The number of active services with the service name.

Tip: Click Quantity in the Main report to open the Details pop-up.

  • Cost Price

Contractual sales price.

The charge to the operator (from essensys) for the service.

  • Sales Price

  • Sell Price

Pricebook sale price.

The charge to the occupier for the service.

All

Margin

The margin made by the operator when they charge for these services.

The monetary difference between the amount charged to the occupier and the amount charged by essensys.

Total Operator Cost

This is the total charge to the operator for the service.

Calculation: Service quantity * Cost price.

CSV:

  • Full service report

Total Sales Price

This is the total charge to the occupier for the service.

Calculation: Service quantity * Sales price.

CSV:

  • Full service report
