How do I create billing reports that reflect the call charges for occupiers or operators at my sites? | Billing services | Occupier summary

They are two different sections where that you can view within the Billing section, you can view the service charge reports to show itemized or summarized call details or services within a month, you can also view the Usage report this is to show you how much Bandwidth or Voice services are consumed.

These monthly reports are downloaded as CSV documents, and describe voice calls associated with your occupiers or your account (operator). The reports apply across sites and are either a summarized or itemized list.

Service Charge Reports

Accessing the Service Report Details

  1. Click Operations in the main menu.

  2. Click the Billing tab.

  3. Select the site whose billing report you want to view from the Sites list.

  4. Use the drop-down list at the top-right of the page to select the date for the report.

    • When the current month is selected. (Reports of this type are only available for complete months.)

    • When the operator or occupiers do not use voice services.

    • When there is no data available for calls in the selected month.

Tip - You can select All sites to report on the billing data across all of your sites.

Downloading the Service Reports

  1. Select the reports that you want to download:

  2. Click the Download icon at the top of the main editor to download the selected report or reports.

Tip: You can also hover over an individual report name and click the inline Download icon to download just that one report as a CSV file, if you wish to download them all click Select All then download and this will be provided within a zip.


Service Report Details

Call charges by occupier (summary)

Each row represents a summary of the call charges for a particular occupier or the account (operator) at a particular site.

Column

Description

Client ID

The identifier for the occupier or operator.

Client Amount

The charge to the occupier for these services.

Operator Amount

The charge to the operator (from essensys) for these services.

Margin

The margin made by the operator when they charge for these services.

The monetary difference between the amount charged to the occupier and the amount charged by essensys.

Note: The Margin may be a negative figure if the operator makes a loss on their call charges. This may happen, for example, if the operator does not pass on charges for local calls.

Client Name

The name of the occupier or operator.

Start Date Time

The first date on which call charges are made in the report period.

This is typically the first day of the month.

End Date Time

The last date on which call charges are made in the report period.

This is typically the last day of the month.

Site

The site that the services are consumed at.

Billing Ref

The Billing reference for the occupier or operator.

Call charges by extension (Itemized call)

Each row represents the call details for a single call from one phone number (extension).

Column

Description

Customer Alias

The identifier for the occupier or operator.

Billing Reference

The Billing reference for the occupier or operator.

Originating Number

The phone number that called.

Destination Number

The phone number that received the call.

Call Date

The date on which the call was received.

Call Time

The time of the received call.

Duration:

  • Secs

  • hh:mm:sec

The duration of the call in seconds and in the standard hours:minutes:seconds format.

Description

The description from the occupier's tariff. (Their charge band.)

Time Band

The "time band" that describes when the call was made in terms of types. Typical values:

  • Peak

  • Off peak

  • Weekend

Charge

The charge from the tariff for this call.

Cost

The charge to the operator (from essensys) for this call.

Margin

The margin made by the operator when they charge for these services.

The monetary difference between the charge and the cost.

Free Seconds

Any free seconds that have been applied as part of the occupier's or operator's bundle.

Connection fee

A flat charge applied on answering a call (on connection).

Charge (exc Free Seconds)

The charge specifically for this call excluding any free seconds.

Tariff name

The name of the tariff associated with this call.

Auth code

Where the authorization code dialing functionality is enabled, this is the authorization code that the user must enter to make a non-emergency call from a "locked" handset.
