How do I manage the basic configuration for an occupier? | Change name | Update billing reference | Change external IDs

Configure your basic occupier account details. These are the configurations that are true for your occupier at every site.

Configure an existing occupier

Before you begin

  • The occupier has been created and is visible in the essensys Platform.

Accessing the Occupier config page

  1. Click Occupiers in the main menu.
    The Occupiers page opens. By default, the Contracts tab is selected, and a list of occupiers is visible.

  2. Select your occupier.

  3. Click Occupier config.
    The Occupier config page opens. Details of the occupier are visible in the page.

Update the occupier configuration

  1. Click Edit.

  2. Define the basic details for the occupier account:

    1. Update the Occupier name.

    2. Update the Billing Reference for the occupier.
      Note: If you clear this field, a unique identifier is assigned automatically.

  3. Add, edit, or remove any external system identifiers for the occupier.
    This describes the details for your occupier in an equivalent data point in a third-party system.

    1. Click Add an external identifier.
      A row for the details of the link opens.

    2. Select an External system.
      If your external system is not present in this drop-down list for selection, you should contact us. You can still create the occupier, but may need to edit the occupier details to add this reference later.

    3. Specify the Identifier that you would use to uniquely identify the occupier in the external system.

    4. If your identifier is specific to an occupier at a particular site, select that Site from the drop-down list.

  4. Once the details are correct, click Update occupier to save.

The occupier is updated.


Manage an existing occupier

  • You can edit the occupier details by clicking Edit in the top-right of the Occupiers > Occupier Config page.

  • You can decommission the occupier, deleting it across all sites and removing all services. For more information, see Decommissioning an occupier.

Occupier name

The name of the occupier. This is the company name.

Mandatory field.

Billing Reference

A Billing reference for the occupier.

External identifiers:

Links your occupier to one or more equivalent data points in one or more third-party systems (for example, a CRM).

Edit occupier account

Billing Reference

A Billing reference for the occupier.

Tip: You may want the Billing reference to exactly match a billing reference in another connected system, such as Operate.

Optional field.

Notes:

  • The billing reference is created as a unique identifier by default.

  • If you clear the value on edit, a different unique identifier is assigned on save.

  • If you change your billing reference, any billing reports from before the change was made will not be available from the essensys Platform. You should, therefore, consider downloading any reports before you make this change. To access any historical billing records, contact us.

External identifiers:

  • Add an external identifier

  • External system

  • Identifier

  • Site

Link your occupier to one or more equivalent data points in one or more third-party systems (for example, a CRM).

To add an external system identifier:

  1. Click Add an external identifier.

  2. Select the system type from the External system drop-down list.

  3. Supply an Identifier for the occupier in the external system. This is usually a unique ID.

  4. Select the Site that the external system is associated with.

  5. Repeat the preceding steps to add multiple external identifiers.

Tip: If the external system is not present in the External system drop-down list for selection, you should contact us.

Tip: If you make any mistakes, you can click X to delete a row.
