Capture the details of the physical device that is associated with your active phone number. Where your device is a digital type, specifying a Phone ID in the details page also logs this phone number in automatically.
Important: essensys will typically set up your device types in the first instance.
Set up and log in to the device
Before you begin
The phone number must be in the ACTIVE state. See Activate a phone number.
Accessing the Phone number details
Access the phone number details for either the operator or an occupier:
To access the telephony details for the operator:
Click Account in the main menu.
Select the Telephony tab.
Select the <site>.
To access the telephony details for an occupier:
Click Occupiers in the main menu.
Select the <occupier>.
Select the Telephony tab.
Select the <site>.
If the list of phone numbers is not visible (the number of phone numbers is presented), click the drop-down icon.
All of the phone numbers that have been allocated for the selected occupier or the operator at this site are presented in a list.
Tip: You can filter this list using the options to its top-right.
Setting up and logging in to the device
When hovering your cursor over the phone number:
Click Device setup.
The Device / Handset setup dialog box opens. See Device / Handset setup details.
If necessary, select a Device type for the handset associated with this phone number.
The device type list describes the manufacturer's names for the handset types. This might be Polycom Flex, for example.
Note: The other fields in this dialog box are enabled or disabled in response to the selected Device type.If you want to log in to a particular physical device, supply the handset's details:
If the selected device type is identified by its MAC address, supply its MAC address.
If your device type is a digital type, select a Phone ID from the drop-down list.
The Phone ID to select is displayed on your device screen.
Only Phone IDs that reference phones that are not currently logged in are displayed in this list for selection.Note: If the selected device type does not require either a MAC address or Phone ID, neither field is enabled.
Click Save.
If the device type cannot be configured in the essensys Platform (Mediatrix 4214 and Fax2Email), a message is displayed. Click OK to close the message and contact us for help completing your set up.
If no message is displayed, the device details are saved. Note the following:
If you selected a Phone ID for your device type, the phone number is associated with a digital device and is automatically logged in to the selected handset.
If you supplied a MAC address, you need to log in to your handset.
What next?
Once the phone number is logged in to a device, you can make and receive calls using the handset.
You may want to either:
Enable a softphone app for an assigned user or team member.
Configure the phone number to set the appropriate extension features and manage other details.

Device type | Specify the type of device that should be used for this phone number. The following device types should be set up by essensys (contact us):
Notes: No device indicates a number where a physical phone isn't used. This may be a virtual number or main number, for example. |
MAC Address | If this is a device type that allows the MAC Address to be set, supply the MAC address. This field is disabled if the device type does not support this. |
Phone ID | Provides a list of available handset Phone IDs at the site. Selecting a Phone ID from this list logs in to the handset with that ID on save. |
