How do I set a temporary site schedule? | Enable temporary out of hours (OOH) main number call handling |

Typically, a site's opening hours are Monday to Friday, 8:30AM to 6PM, in the local region's time zone. If you want to change these hours for a temporary period, for example, because of an office closure during a bank holiday, early closure day, or unexpected event, you can do this by defining a site schedule.

A site schedule describes the times of a one-off event when out-of-hours settings should be used for telephony even during what are normally in-hours times. This affects main number call handling.

Example: If your main number settings indicate that calls should be sent to a call answering service during office hours and to voicemail outside of office hours, the site schedule will send calls to voicemail for the entire period of the event.

Create an out of office event

Before you begin

  • The occupier or operator has to have to have at least one allocated phone number to enable the Request a telephony configuration change menu.

Creating the site schedule for the event

  1. At the top-right of the page, click Request a telephony configuration change > Site schedule.
    The Raise a case dialog box opens. All fields apart from the description are pre-populated with appropriate details.

  2. In the Description field, specify the schedule for the event:

    • Give the event a Name.

    • Indicate its times, this can be one of:

      • The specific start date and time and end date and time for the event.

      • The days (dates) when the event happens all day (interpreted as 00:00 to 23:59 on each specified date).

    • Optionally, list any additional sites where you want the site schedule for the event to apply. (By default, we will assume the schedule applies only at the selected site.)
      Note: The scheduled time / date will be the specified dates and times in the site region.

  3. Click Submit.
    A case is raised. After a short delay, you will receive an email notification indicating details of the case and its case ID.

Once your site schedule is set up, essensys will contact you.

It is important to note that a site schedule will affect all occupiers and the operator at the specified site or sites.

Name

Description

Out of hours event name

A descriptive name for your event, such as Spring Bank Holiday or Office Day Out.

Event schedule:

  • All day event: <date>

  • Specific start and end: <start date time> and <end date time>

All day event:

To select a date for an all day event, supply the date in the YYYY-Mon-DD format. The event date is taken to be that day from 00:00 to 23:59.

Specific start and end:

To run the event between a specific start and end date, supply the start and end dates as follows:

  • Start date: YYYY-Mon-DD HH:MM

  • End date: YYYY-Mon-DD HH:MM

[*] Mon is the short version of the Month name. For example, Jul in place of July.

Additional sites: <site name>, ...

Optionally, you can name additional sites where you want the site schedule for the event to apply.
By default, the site schedule applies only at the selected site.
Note: The scheduled time / date will be be the specified dates and times at the site region.
