How do I activate a phone number? | Enable voice service use | Consume voice services | Activate | Deactivate

If the operator or selected occupier has a phone number that is currently in the RESERVED state, and they want to use it to consume voice services, you need to activate it.

Note: If your phone numbers were automatically allocated in response to adding a voice service, they will already be in the ACTIVE state and will not need to be activated.

Activate phone number

Before you begin

To be able to activate a phone number, it:

  • Must be allocated to an occupier or the operator.

  • Must be in the RESERVED state. That is, it must be allocated to the occupier or operator, but not currently be in any of the ACTIVE, PENDING, or COOLDOWN states. For more information, see Telephony status reference.

  • This occupier or the operator must have sufficient available voice services to be entitled to activate the voice service. See Add services.

Accessing the Phone number details

  1. Access the phone number details for either the operator or an occupier:

    1. To access the telephony details for the operator:

      • Click Account in the main menu.

      • Select the Telephony tab.

      • Select the <site>.

    2. To access the telephony details for an occupier:

      • Click Occupiers in the main menu.

      • Select the <occupier>.

      • Select the Telephony tab.

      • Select the <site>.

  2. If the list of phone numbers is not visible (the number of phone numbers is presented), click the drop-down icon.

All of the phone numbers that have been allocated for the selected occupier or the operator at this site are presented in a list.
Tip: You can filter this list using the options to its top-right.

Activate a phone number

When hovering your cursor over the phone number:

  1. If the phone number status is RESERVED, click Activate.

    If you have sufficient available voice services to activate the phone number, an information message informs you that your phone number is being activated.

  2. Click OK to close the message.
    After a short delay, the phone number is activated and its state changes to ACTIVE.
    Note: While the phone number is activated, it is in the Pending state. You cannot update its details until the update is complete.

Info: If the main number for this occupier or operator forwards calls to an in space hunt group, the newly activated phone number is added to that hunt group automatically. If you want to remove it, see Main number - In space hunt group.

Info: Once the phone number is ACTIVE, the button that you just used changes to enable deactivation instead of activation. See Deactivate phone number.

What next?

Now that you have activated the phone number, you need to capture details of the handset / device and log in to that device. See Set up device / handset details.


Deactivate phone number

You can Deactivate any phone number that is currently active, so long is it is not assigned to a user or team member:

  • Deactivating a phone number stops it being used to consume voice services and returns it to the Reserved state. The phone number remains allocated to the occupier or operator.

  • Deactivating a phone number permanently clears its settings. This means that all extension features are lost, and the PIN is set back to the default value (Default PIN).

  • Deactivating a phone number logs it out from its digital handset automatically. Note: If the handset is not digital, you need to log out of the handset manually.

  • Deactivating a phone number automatically removes it from the in space hunt group associated with its main number.


Further information

  • The activation status of your device does not affect charges associated with the voice service. To end service charges, you need to both deactivate the device and then remove the voice service.
